The Same Information Keeps Moving
The first thing I look at when I walk into a small Vancouver legal practice is the new client intake process. Specifically, how many times the same information is entered before the first billable hour begins.
A prospective client may start with a referral or online enquiry. Someone takes notes on a call. A PDF intake form is emailed. The client completes it and sends it back. Someone then reviews the form and enters the same name, matter type, and contact details into the practice management system.
The information has moved several times before the legal work has started.
The Cost Is In Non Billable Administration
That process is common in smaller practices. The form may be digital, but the path from the form to the matter file is still manual.
Where the lawyer is also managing intake, non billable administration is being performed by the person whose time should be reserved for legal judgment and client work.
Connect Intake To The Matter File
A connected intake process can begin with one web-based form. The information can populate the practice management system, create the matter record, and trigger a conflict-check flag for review. Confirmation can go out automatically, and the first meeting request can route to the lawyer's calendar.
The comparison is simple: a 45-minute intake process should not require the lawyer when a junior team member could manage the review in 15 minutes with the right system in place. Intake is administrative work. The legal judgment comes after it.
Why It Matters
This is not just about forms. It reflects a broader shift.
Professional firms lose expensive capacity when senior people repeatedly move information between systems.
Connecting intake steps can protect billable time while keeping the lawyer responsible for the decisions that actually require legal expertise.
