A Vancouver restaurant owner has set up an automated email that goes to every new customer 24 hours after their first visit. It works reliably. She has also started using an AI tool to write the emails themselves. She is not sure how these two things are related or whether she needs both.

She does. They are doing different jobs.

Automation follows rules. It triggers when a condition is met and executes a defined action. In the restaurant owner’s case, a new customer record is created, a timer starts, and 24 hours later an email goes out. The automation does not read the email or decide what it says. It just sends it at the right time to the right person. Reliably, every time, without anyone pressing send.

AI applies judgment. The restaurant owner’s AI tool reads a brief description of the customer experience and produces an email that fits the tone and context. It does not know when to send the email or who should receive it. It produces text when asked.

Different Jobs, One Workflow

The reason both matter for a small business is that most useful workflows need both. The operational trigger and routing is automation. The content that needs to sound human and contextually appropriate is AI.

Separating them clearly makes it easier to decide what to build first and what to add later.

Most owners who try one without understanding the other end up disappointed. The automation runs but the messages feel robotic. Or the AI produces good drafts that never go out at the right time.

The answer is to design the workflow first, then decide which layer each tool belongs to.

The tools are different. The workflow that connects them is where the value lives. Understanding what each one does is the step most owners skip on the way to being disappointed by the result.
