The Week Before Reveals The Gaps

The first thing I look at when I sit down with a Vancouver non profit coordinator is not the event plan. It is the week before the event.

Volunteers were confirmed three weeks ago, but some have not responded since. Roles were assigned in a spreadsheet that has not been updated. Two people changed their availability. One has not told anyone.

The coordinator spends the final week making calls, sending messages, updating the spreadsheet, and trying to confirm that the right people will arrive in the right roles.

Confirmations Should Run Before The Crisis

A structured volunteer communication sequence can confirm the role and timing when someone signs up. A reminder can go out five days before the event. Another can arrive the day before with location, arrival time, and a direct contact for questions.

If a volunteer cannot attend, their response can notify the coordinator immediately rather than becoming a surprise on event morning.

Make The Spreadsheet A Record

The coordinator's week then becomes a review rather than a rescue. Calls can be reserved for relationships and genuine conversations. The spreadsheet becomes a record rather than the primary management tool.

Non profits depend on goodwill, but the volunteer experience still matters. Clear roles, timely confirmations, and predictable communication influence whether participation feels easy enough to repeat at the next event.

Why It Matters

This is not just about event logistics. It reflects a broader shift.

Volunteer experience is part of organizational experience.

A communication process that reduces uncertainty for both volunteers and coordinators can protect the programme work that should be the focus in the final week.
